A global marketing and advertising technology agency needed a fulfillment partner for a monthly customer appreciation program on behalf of a major U.S. automotive manufacturer. Each new car buyer receives a paint pen matched to the exact color of their vehicle, packaged with a branded letter and a coupon for service at their dealership. Qualfon designed and managed the entire operation from a single location, delivering zero-defect production through the program’s first two monthly mailings while reducing execution costs by 15%.
The Challenge
New car buyers form their opinion of a dealership quickly, and the agency saw an opportunity to reach them during that window with a gift that was personal, practical, and branded to the vehicle they just drove home.
Executing the idea every month proved complicated and time-sensitive. The program required personalized packaging across the manufacturer’s family of brands, precise color matching for every vehicle, secure handling of customer data, coordinated artwork and print production, and mailing schedules tight enough that the package arrived while the purchase still felt fresh. Any breakdown along that chain, from a mismatched pen color to a missed mail date, would undercut the gesture entirely.
Our Solution
Qualfon approached the agency proactively with a solution built on years of experience managing automotive thank-you and service packages, along with the advantage of operating near both the agency and its client. Rather than splitting the program across vendors, Qualfon consolidated everything in one location: purchasing product, receiving third-party materials, managing outsourced suppliers, and coordinating print, finishing, kitting, and mailing.
That single-location model allowed Qualfon to guarantee a direct mail delivery schedule the agency could confidently share with the manufacturer and its dealers. It also opened the door to smarter design. Qualfon combined multiple print items into one printed piece, with the personalized branded packaging, customer name and address, dealer information, service offer, and letter all produced together and joined by a perforation. During fulfillment, associates simply detach the letter and insert it into the package along with the correct pen color. Fewer touchpoints meant fewer opportunities for matching errors and less handling overall.
By re-engineering the supply chain and streamlining the fulfillment process, Qualfon also reduced the program’s execution costs by 15%.
Implementation Excellence
Delivering the program took coordination across nearly every corner of Qualfon’s operation. IT, Procurement, Sourcing, Fulfillment, and Mailing and Logistics teams worked together to automate workflows, shorten production timelines, and streamline kitting and mail preparation, shaping the process around the program’s specific product and distribution requirements.
Throughout implementation, Qualfon’s Customer Service department coordinated every stage of the process alongside the Sales team, from initial testing through production and final fulfillment. Mapping the entire operation before launch gave every department a clear picture of how its work connected to the next step.
The Results
The agency set the benchmark, and Qualfon engineered the program to meet it. Across the program’s first two monthly mailings, with a third currently in production, the program delivered:
